Payments Policy
To secure a reservation, a minimum 50% deposit of the total amount is required. For reservations made within 14 days of check-in or for one-night stays, the full amount will be charged at the time of booking. We accept Visa, Mastercard, American Express, Discover, and Zelle. Checks may be accepted for bookings over $1,000; however, cash is not accepted. Upon receipt of your deposit, you will receive a confirmation by text message or through our Hill Country Travel App containing lodging details, access instructions, the property address, and driving directions. The remaining balance will be charged within 7 days of arrival. If your credit card fails to process for either the deposit or the balance, your reservation may be cancelled and/or your deposit forfeited. A 3% credit card surcharge applies to all bookings. To avoid this fee, guests may pay via Venmo or Zelle—please note your preferred payment method in the comments section when booking.

Cancellation Policy
Cancellations made more than 14 days before the arrival date will incur a $100 cancellation fee. Cancellations made within 14 days of arrival will be charged the first night’s full rate and any associated fees. There are no refunds for early departures or for any additional fees after check-in. Some properties have non-standard cancellation policies; in these cases, cancelling within 30 days of check-in may result in a 50% charge of the total reservation. Guests who book through third-party platforms such as Google, Booking.com, Airbnb, or VRBO are subject to that platform’s cancellation policies.

Guest Responsibilities
Unless approved in writing, early check-ins and late check-outs may incur additional charges. Registered guests are responsible for any damages or extra cleaning fees. Unauthorized guests or pets may result in added charges. Parties, gatherings, or exceeding the stated occupancy without prior approval are strictly prohibited. Smoking in non-smoking areas incurs a $1,000 cleaning fee. Failure to return keys or gate remotes will result in a $25 replacement fee, and lost items can be mailed back upon request for the cost of postage plus a $25 handling fee.

Promotions
Backroads Reservations occasionally offers promotional coupon codes through our website, social media pages, and the Hill Country Travel App. Discounts must be applied at the time of booking while the promotion is active and cannot be applied retroactively to confirmed reservations. Coupon codes are not valid for events, holidays, or special occasions unless expressly approved in advance. Backroads Reservations reserves the right to modify, limit, or withdraw any promotion at any time.

Liability
While we make every effort to ensure accuracy, the website and app may occasionally contain errors or omissions, and all information is subject to change without notice. Content provided on our website or in the app does not constitute an offer or binding contract.

Privacy Policy
Personal information collected during reservations or information requests is stored securely and used only for internal purposes. The Hill Country Travel App does not require personal data to access or use its features.
